• Partner Universities: Educational institutions and admissions offices collaborating with Meet Mentora.
• Mentors: Verified experts, consultants, or service providers onboarded on Meet Mentora.
• Aggregators: Third-party platforms (e.g., ApplyBoard) that assist with application submissions and management.

3. Information We Collect

• Identity & Contact: Full name, email, phone, country, date of birth, and postal address.
• Education & Background: Academic history, grades, transcripts, work experience, resumes/CVs, and target programs.
• Application Documents: Passports, visas, statements of purpose, essays, recommendation letters, CVs, personal statements, test scores, and supporting documents.
• Financial & Visa Information: Proof of funds, sponsorship details, visa history, and budgets when you choose to provide them.
• Communications: Emails, chat messages, customer support tickets, audio or video calls, and messaging tool logs (including WhatsApp when integrated).
• Technical Data: IP addresses, device and browser details, operating systems, referring URLs, cookies, and analytics data generated through Platform usage.
• Payment Data: Transaction references, billing information, and payment status. Card details are handled by our payment processors; Meet Mentora does not store full card numbers.

4. How We Use Your Information

• Provide mentorship, counselling, and expert consultations.
• Shortlist universities, evaluate applications, and share documents at your instruction.
• Deliver document review, SOP editing, and related services.
• Share necessary data with Partner Universities, aggregators (e.g., ApplyBoard), mentors, and compliance partners to complete the tasks you request.
• Schedule sessions, manage bookings, and send reminders.
• Respond to support tickets and user inquiries.
• Improve Platform functionality, security, and user experience.
• Send marketing and informational communications (opt-out available).
• Meet legal obligations, enforce policies, and prevent fraud.

5. Legal Basis & Consent

Meet Mentora processes data on the following bases:

• Consent provided by you.
• Contractual necessity to deliver services you request.
• Legitimate interests such as improving the Platform, ensuring security, and preventing misuse.

• Partner Universities & Institutions: To evaluate and process applications.
• Aggregators/Application Platforms: Such as ApplyBoard, based on your instructions for submissions.
• Mentors & Consultancies: Limited details required to deliver sessions or services.
• Service Providers: Hosting, analytics, payment processing, communications, and support tools operating under confidentiality commitments.
• Legal Authorities: When required to respond to lawful requests, enforce policies, or protect rights.

7. International Data Transfers

Data may be processed on servers or accessed by partners outside Nepal. We rely on secure infrastructure, contractual safeguards, and vetted vendors to protect your information globally.

8. Data Retention

We keep personal data while your account remains active and for up to 24 months after the last interaction, unless longer retention is required for legal, auditing, or dispute-resolution purposes. You can request deletion sooner (see Section 11).

9. Security

We use technical, administrative, and physical safeguards including encryption, access controls, secure backups, and employee training. No system is perfectly secure. Protect your credentials and notify us immediately if you suspect unauthorized access.
